General Terms and Conditions

General

The following terms and conditions set out the legal rules applicable to the 17th International Conference on Motivation (ICM), as well as the Joint events of the 2022 “SIG8 meets SIG16 conference” of the EARLI Special Interest Groups „Motivation and Emotion“ (SIG8) and „Metacognition“ (SIG16). Participants shall be bound by these terms and conditions upon registering for the Conference and are advised to read and understand these terms carefully before registering. The Organizer will not accept any conditions contradictory to or deviant from these general terms and conditions.

Organizer

Responsible for the organization of the Conference is the TU Dresden, Faculty of Psychology, Chair of Psychology of Learning and Instruction, Germany.

Registration

Registration to the Conference must be done through the EARLI online registration system. The registration deadline is August 2nd, 2022. Participants will receive an automatic confirmation of the registration details. If you do not obtain anything, please send an email to info@SIG8meetsSIG16-Dresden.de to make sure that the Organizer has received your booking. Registration will only be effective on receipt of the registration fee or after authorization of credit card payment. Please notify any corrections to your registration immediately.

Registration conditions

The registration fee includes admission to all conference sessions, detailed program and list of participants. Furthermore, it will allow an asynchronous access to all the conference sessions that have been recorded over a period of at least four weeks after the closing of the conference. For the online participants, it includes online access to all live-streamed and recorded sessions, for the on-site participants also access to the on-site conference sessions (keynotes, symposia, joint SIG8-16 events, SIG8 business meeting), the coffee breaks and lunches, the welcome event. Travel, accommodation and other meal expenses are excluded from registration fees and result in additional expenses. Further information can be found in the detailed registration information (PDF).

Please note:

  • The registration of participation is binding (please see cancellation policy below).
  • The participation fees are owed upon registration and are payable within 7 days following submission of the registration.
  • Participation is not guaranteed until full payment of the registration fee is received.
  • The conference program may be subject to change.
  • Payments will be refunded if the conference will be canceled by the organizer. In that case, the organizer will have no further liability to the client.

Pandemic regulations

The conference will be held at least under the then applicable rules and measures in Saxony and on our Campus to contain the spread of COVID-19. You will be requested i.e. to provide certificates of full vaccination (including booster if eligible) and/or recent testing to attend in person. Distance rules and the obligation to wear a mask may apply at that time. It is indispensable to have a look at our conference page for an update on the hygienic measures when preparing for your visit to Dresden. We are not liable, if you do not observe the actual rules and therefore cannot participate in the conference.

Cancellation policy

Conference fee cancellation policy

In case of cancellation before May 20th, 2022 an administration fee of 40% of the conference fee will be charged. After May 20th, 2022, there will be no refunds for cancelled registrations (see exceptions below for COVID-related cancellations). A cancellation has to be done by sending an e-mail to info@SIG8meetsSIG16-dresden.de, with attached a payment confirmation of the registration fees. The conference organization will then request the EARLI office to arrange the refund via the same method as used for payment. A transfer of registration to a colleague is not possible.

Change of conference attendance format

As there are still uncertainties due to the COVID-19 pandemic, we understand that you may need to change your plans. Thus, we accept changes concerning the conference attendance format before June 29th, 2022 with the following conditions:

  • A change from in-person to online-format is possible – the difference in fees (50 Euros) will cover the respective administration and organization service.
  • A change from online- to in-person attendance after the early registration deadline means more organizational load for us. Thus, this would mean that you would have to pay the late in-person registration fee (your payed early-bird online-registration fee will of course be taken into account).

Important: Please first contact the conference organizers (info@SIG8meetsSIG16-dresden.de) before changing your ticket! Change of conference attendance format must be done through the EARLI online registration system.

COVID-related cancellation policy

In case of institutional or government-imposed travel restrictions, you can change your conference attendance format from in-person to online up until 3 weeks (before August 3rd, 2022) before the conference start. Send a request to change presentation format to info@SIG8meetsSIG16-dresden.de with a payment confirmation of the registration fees and the applicable / up to date institutional or governmental regulations attached. If your presentation is part of a symposium, the conference organization will include your pre-recorded presentation in the respective symposium session. If your presentation is part of an online session it will remain in the session slot it has been planned for. Note that this exception applies only to institutional or government-imposed travel restrictions and excludes all non-governmental related travel issues. In case of the latter, the general cancellation policy applies.

In case of an official positive COVID-test of an in-person presenter, send a cancellation request to info@SIG8meetsSIG16-dresden.de with a payment confirmation of the registration fees, your positive COVID-test result, and proof of identification attached. The conference organization will cancel your presentation and request the EARLI office to refund 40% of the paid registration costs via the same method as used for payment.

In all COVID-related cancellation cases, you will be able to attend the online accessible conference sessions online through the virtual conference venue. Furthermore, it will allow an asynchronous access to all the conference sessions that have been recorded over a period of at least four weeks after the closing of the conference.

The Organizer reserves the right to modify the content of the program, the speakers and the times of presentations. If the number of participants is insufficient, the Organizer reserves the right to cancel the Conference and all related products and/or services without any liability on his part. In the case of a cancellation by the Organizer participants will be reimbursed the registration fee actually paid.

Liability

The Organizer does not accept liability for the up-to-dateness, correctness and completeness in respect to conference documentation and content.
The Organizer will not assume any responsibility whatsoever for any damage or injury to persons or property during the Conference.

Photographs and Videos

The conference will be recorded on video. The organizer may free of charge and without the further consent of the participants use and release pictures, shots and videos taken of the participants and/or their works (such as posters, excerpts of presentations or lectures) during the Conference for reports of the Conference and announcement of events in future.

Privacy Policy

All personal data provided to the Organizer for registration will be treated as confidential. The data shall be used and stored for further processing and documentation purposes. The information will not be re-used for an incompatible purpose. Data shall be delivered to assigned service providers, as deemed necessary for the successful performance of the Conference. The Organizer will only disclose information to third parties if that is necessary for the fulfilment of the purpose(s) identified above.

Virtual conference

The 17th International Conference on Motivation (ICM) and the Joint events of the 2022 “SIG8 meets SIG16 conference” of the EARLI Special Interest Groups „Motivation and Emotion“ (SIG8) and „Metacognition“ (SIG16) are planned to be implemented partly hybrid. For all hybrid or online talks and the poster presentations the virtual venue of the conference management software Converia and the video conferencing tool Zoom will be used. The conference host will have access to personal and other data generated through the use of these platforms, including personal data shared by conference participants. They may also make other aggregated information available to the conference host. The Zoom Privacy Statement as well as the Privacy Policy of Converia set out the categories of personal data and other data collected. By registering for the conference you generally agree to the use of Converia Virtual Venue and Zoom as a conference tool. Your data will be processed to enable you to participate in a video conference, meeting, conference session or desk sharing (display of screen content from our/your PC). This includes the organization and implementation. While participating in-person you might be within range of some device’s camera or microphone that can be seen and heard by users and others at their location.

Severability Clause

If any provision of these Terms and Conditions is found to be invalid, the invalidity of that provision will not affect the validity of the remaining provisions of these Terms and Conditions, which shall remain in full force and effect.

Disputes

All agreements between the Organizer and the Participant and all disputes which may arise between the Organizer and the Participants shall be exclusively subject to German law. Court of jurisdiction shall be Dresden.
